Secret Santa in a cooking club: an exchange between meetings

План для взрослого кулинарного клуба: отдельный список участников, понятные сроки и небольшой обмен без обязательного съедобного подарка.

A cooking club Secret Santa is an optional exchange in which each participating adult prepares one gift for an assigned person. Attach it to a regular meeting without turning it into a cooking contest. Confirm who wants to join, the spending limit and the handover arrangements before drawing names.

This guide is for the organiser of an established adult club. It covers coordination, rather than recipes, kitchen shopping or dietary advice.

Decide whether the format fits

Club membership does not mean agreement to exchange gifts. Invite people separately and let them decline without explanation. Check that everyone has enough preparation time and a workable way to hand over their gift.

DecisionAgreement to record
ParticipantsOnly adults who explicitly opted in before the draw
BudgetA maximum, with no obligation to spend it all
Gift formatEdible gifts are optional; a non-food exchange is possible
HandoverA short exchange after a confirmed meeting
AbsenceAn agreed later handover or consenting intermediary

Do not make professional equipment or homemade creations an expectation. Handmade gifts should be acceptable to the group, with no competition over effort or cost.

Organise it yourself in five steps

1. Invite separately

Say that the normal meeting goes ahead regardless. Ask interested members to reply privately by a chosen date. Do not list people who declined.

2. Collect brief preferences

Two or three pointers and one “please avoid” line are enough. Do not request health details, home addresses or personal contacts in the group chat. A person can exclude a category without giving a reason.

3. Confirm the roster

For an in-person draw, use identical closed slips containing only consenting participants. If someone draws themselves, repeat the entire draw until the result is valid. An online draw is useful when members cannot meet together.

4. Set three dates

Separate the opt-in deadline, draw date and handover date. Leave preparation time agreed by the group. Confirm the meeting before choosing it for the exchange.

5. Arrange for absences

Agree a fallback before drawing names. A missed meeting is no reason to change recipients. Use a later meeting or an intermediary only with everyone's agreement; keep addresses and personal schedules out of shared messages.

An example you can adapt

Imagine a club meeting twice a month. Members opt in by 5 December, draw names on 7 December and exchange gifts after the 20 December meeting. They agree a limit of 700 roubles and non-food gifts. These are sample choices, not a universal budget.

> We are offering a separate, optional Secret Santa exchange. Our normal meeting stays the same. To join, reply privately by 5 December. The gift limit is 700 roubles; food gifts are not expected. The draw is on 7 December and handover is after the 20 December meeting. If you cannot attend, we will agree another handover in advance. You can decline without explaining why.

Use the invitation templates for follow-up messages. The ideas under 1,000 roubles offer budget inspiration; the recipient's preferences should guide your choice.

Where Osanta helps

A manual draw works when everyone can attend. The public Osanta game page describes one invitation link, preferences and unwanted gift categories, a draw date and email delivery of assignments.

The organiser starts game registration with an email, then sets the name, date and budget. Participants do not need a separate account. The club still agrees gift boundaries and fallback handovers itself. Do not plan to add participants after the draw date.

Before starting

  • Everyone on the roster has opted in.
  • The limit is a ceiling, not a spending target.
  • Preferences contain no health details, addresses or contacts.
  • Opt-in closes before the draw.
  • Handover and absence arrangements are confirmed.
  • Nobody is expected to cook or buy kitchen equipment.
  • The organiser will check the roster and send one calm reminder.

Once those decisions are settled, creating the game is the next step. Keep the exchange a small addition to the meeting and participation a personal choice.

Questions on this topic

Should the whole cooking club join the draw?

No. Include only people who explicitly opted in. Attending club meetings does not imply consent to exchange gifts.

Must the gift be food or kitchen equipment?

No. The club can agree a non-food format and collect each participant's preferences and excluded categories.

What if someone misses the handover meeting?

Agree a later handover before the draw. Use another member as an intermediary only with the consent of everyone involved.

Can a latecomer join after the draw?

Osanta does not provide for adding players after the draw date. Confirm the roster beforehand; a separate exchange should not change existing assignments.

Do participants need an Osanta account?

The launch page says participants do not need a separate account. They use the game link and complete a form. The organiser starts game registration with an email.
