For a regular adult film club, keep Secret Santa separate from the screening: invite volunteers, agree on a spending cap and exchange gifts after the discussion. Confirm the final group before drawing names and allow time to choose gifts. Buying a cinema ticket does not mean joining the exchange.
This guide helps a club organiser run the exchange. It is not a film fan gift guide, a school activity or a corporate screening plan.
Agree on the format first
Secret Santa assigns each participant a recipient without revealing the giver in advance. Attendance at the screening and participation in the exchange are separate decisions. Let people decline without explaining why; gifts should not become a membership fee.
| Decision | Working rule |
|---|---|
| Participants | Adults who explicitly opt in before the deadline |
| Spending | An affordable cap with no compulsory minimum |
| Theme | Cinema is optional inspiration |
| Exchange | After the discussion, never during the film |
| Absence | Arrange handover privately with the organiser |
| Photos | Ask permission before taking or sharing them |
Run the exchange in five steps
- Choose the handover meeting and reserve a short slot after the discussion.
- Collect opt-ins by one deadline, then confirm occasional attendees before the draw.
- Ask for a brief preference and one thing to avoid. A genre or gift format is enough.
- Draw names after closing the group. For a paper draw, shuffle names, check that nobody gets themselves and tell each person privately. The organiser handles any redraws.
- Check readiness privately before the meeting. Label packages for recipients without displaying contact details or a list of givers.
When someone misses the screening
A missed screening does not automatically cancel participation. Ask privately whether the person still wants to join and how to hand over their package. Remove withdrawals before the draw. For a later withdrawal, agree a new arrangement with the affected people before purchases; do not promise unchanged pairings.
Do not leave packages at a ticket desk without agreement. Share an address, phone number or access instructions privately only when needed.
A practical example
Imagine ten adult members agreeing on a 700-rouble cap, closing entries two weeks before the meeting and exchanging gifts after the discussion. This is an illustrative agreement, not an Osanta case study or a universal budget.
A useful preference is: “I enjoy science fiction and small items for watching films at home; no posters, please.” Leave out tickets, booking references and access codes. For actual gift ideas, see the separate film fan guide.
Choose a draw method
Paper works if the organiser can check assignments and privately deliver results. An online game reduces the separate work of collecting preferences and sending assignments. Consider whether the group is final and whether everyone can receive email.
The Osanta game page describes a first step using the organiser’s email, followed by the game name, draw date and budget. Participants use one link to enter preferences; assignments are emailed on the draw date. The club still handles consent and the physical handover.
Adapt the invitation templates to your deadline. Keep contact details, addresses, tickets and access codes out of shared messages.
Before starting
- Everyone has opted in freely.
- The budget and preference deadline are clear.
- There is time between the draw and the exchange.
- Gifts come after the screening and discussion.
- Absent members have a private handover arrangement.
- Shared information contains no personal contacts or access codes.
- Photos and revealing givers remain optional.
Once the format is agreed, the creation form starts with the organiser’s email. Set the name, budget and date in the following steps.
Organizing a gift exchange?
Create a Secret Santa game online and send the link to participants.
Questions on this topic
Must every club member join?
No. Only adults who explicitly opt in participate; declining does not affect club attendance.
Must gifts be film themed?
Only if agreed. The recipient’s preferences matter more than the theme or a higher budget.
When should names be drawn?
After confirming the final group, with enough time before the gift exchange.
What if someone misses the screening?
Privately confirm participation and arrange handover. A missed screening alone does not require a redraw.
What should stay out of shared messages?
Contact details, home addresses, tickets, booking references and access codes. Discuss necessary handover details privately.
