How to organise Secret Santa for an evening course

План обмена подарками для взрослой группы многонедельных курсов: согласие участников, небольшой бюджет и запасной способ вручения.

✨ Quick step

Organizing a gift exchange?

Create a Secret Santa game online and send the link to participants.

For a regular adult evening class, arrange Secret Santa around the final session: invite volunteers, agree an affordable spending limit, then draw names. Decide separately how anyone missing the last class will give and receive their gift.

The exchange is between learners. It is unrelated to course fees, certificates or a gift for the teacher. Nobody needs to explain a decision to sit it out.

Agree the essentials first

DecisionAgreement
ParticipationExplicit opt-in, never the entire class chat by default
SpendingA ceiling everyone accepts, including wrapping
HandoverAfter teaching finishes, with the venue's agreement
AbsenceA private arrangement for a later handover

If the group cannot agree on costs or handover, skip the exchange. For an ongoing conversation club, use the separate language-club approach.

Organise the exchange

  1. One organiser collects voluntary replies privately, without using attendance records.
  2. Set a joining deadline and allow withdrawals before the draw.
  3. Ask for a few simple wishes and things to avoid, without requesting personal explanations.
  4. Draw names so each person gives and receives one gift. For a paper draw, agree what happens if someone draws themselves.
  5. Check handover arrangements personally. Reminders and missed-session plans are the group's responsibility.

Leave preparation time between the draw and the final class. Do not publish private timetables, room addresses, contact details or access codes.

A sample timeline and invitation

With three weeks left, collect consent and agree spending in the first week, draw names in the second, and exchange gifts in the final week. These are illustrative intervals, not a requirement.

> Would you like to join a voluntary gift exchange at the end of our course? We will agree a modest budget and handover arrangements before drawing names. Please reply privately if interested; no explanation is needed if you decline. We will arrange another handover for anyone missing the final session.

See the invitation templates for other wording. If somebody drops out after the draw, contact affected participants before changing anything: gifts may already be prepared.

Choose paper or an online game

Paper works when everyone can meet. If an extra meeting is difficult, the Osanta game page starts with the organiser's email, followed by a game name, draw date and budget. It helps organise the draw; attendance and gift delivery remain your responsibility.

Before starting

  • Everyone is an adult and has opted in.
  • Spending is agreed without pressure.
  • There is preparation time after the draw.
  • Absent participants have a backup plan.
  • No private class information appears in the description.
  • Participation has no connection to teaching or certificates.

Questions on this topic

Must the whole class participate?

No. Include only adults who explicitly opt in.

Should the teacher join?

This plan is for learners exchanging gifts; it does not include a teacher's gift.

When should names be drawn?

After the group and spending limit are agreed, leaving time before the final session.

What if someone misses the final class?

Arrange another handover privately, without publishing addresses or contacts.

Can we do this without a service?

Yes. A paper draw works if you agree how to handle someone drawing their own name.
