How to organise Secret Santa in an adult photography club

Plan a voluntary gift exchange for an adult photography club, with clear preferences, a spending cap and a backup handover date. Includes a checklist.

This guide is for adult amateur clubs organising an exchange between meetings. It is not a camera buying guide or a list of gifts for professional photographers.

Choose a format that fits attendance

A shared handover after a photo discussion works when everyone has confirmed attendance. If meetings have a changing line-up, allow a handover period and one backup date. Missing a photo walk should not automatically remove someone from the exchange.

A private spreadsheet or a paper list is enough to organise this yourself. For a small group meeting in person, a paper draw can work: check that nobody draws themselves and communicate each result privately. Keep the full pair list out of the group chat.

Five steps to a completed exchange

  1. Invite volunteers and set a clear joining deadline. Do not enrol the entire club chat.
  2. Ask for interests, unwanted categories and whether an original print would be welcome. Equipment-dependent accessories need an exact specification; otherwise choose another wish.
  3. Close the list before the draw. Leave preparation time between joining, drawing names and handing over gifts.
  4. Tell each person only their recipient and the relevant preferences. Explain the fallback handover.
  5. After the meeting, check privately that every gift has arrived. Avoid public lists of people who are late.

A sample timetable

An imaginary club meets twice a month: members opt in by 5 December, names are drawn on 7 December and gifts are exchanged after the meeting on 20 December. Those absent arrange a personal handover by 27 December. Adapt these example dates to actual availability.

Remove anyone who withdraws before the draw. A withdrawal afterwards needs a private agreement with the people affected; do not assume the service will resolve it automatically.

A message to adapt
