Organising Secret Santa across library shifts

План обмена для сотрудников разных смен и зон работы: от добровольного участия до передачи подарков без общего собрания.

✨ Quick step

Organizing a gift exchange?

Create a Secret Santa game online and send the link to participants.

A library staff Secret Santa can use one sign-up deadline and several agreed handover opportunities. Everyone need not attend a single gathering: decide who can accept gifts and how each recipient will collect theirs between shifts.

This plan is for colleagues working in different library areas, not for readers. A book club exchange has its own format.

Agree the arrangements first

Choose the format by asking whether everyone can sign up in time, reach the handover point and confirm receipt. Permission to use a room does not imply staff consent to join.

SituationPractical arrangement
Shifts do not overlapA handover window instead of one compulsory gathering
Staff work in different areasAn agreed collection point away from reader services
Someone cannot attendA private arrangement with the organiser
Gifts wait with a coordinatorRecipient labels and a simple receipt check

Keep gifts out of public areas. Never publish shift patterns, internal contacts, access details or reader information.

Five steps

  1. Invite everyone on equal terms. Joining is optional, and declining needs no explanation.
  2. Agree an affordable spending limit, a sign-up deadline and a handover deadline.
  3. Ask for a short preference and anything the recipient would rather not receive. Library staff do not necessarily want books.
  4. Draw only among confirmed participants and tell each giver their recipient privately.
  5. Check that gifts were handed over and received without publishing a staff list.

A manual option

Use identical name cards to assign recipients, checking that nobody draws themselves and everyone receives one gift. Tell each person separately. Update the list before the draw if participation changes; after the draw, discuss any problem privately with those affected.

Example across shifts

Suppose front-desk and acquisitions staff have no shared free evening. They agree on several days for gifts to pass through a coordinator. Each package carries the recipient's agreed name. Collection details are shared privately. If no suitable holding place exists, arrange a personal handover instead.

This is an organisational example, not a promise of storage or delivery by a service.

Invitation and checklist

“Would you like to join a voluntary Secret Santa? We will agree a modest spending limit and a gift handover deadline before the draw. Declining is fine. Send a short gift preference if you wish; colleagues on different shifts can agree a handover with the organiser.”

The invitation templates also cover reminders. Add the dates your team has actually agreed.

  • Everyone has opted in.
  • The spending limit is clear.
  • Every shift has a workable handover option.
  • The coordinator has agreed to help.
  • No schedules, contact details or reader data appear in the description.
  • Receipt is checked privately.

Where Osanta helps

The Osanta game page starts with the organiser's email, followed by the game name, draw date and budget. It describes one participant link, gift preferences and emailed pairings on the draw date. This can reduce manual communication of assignments.

The organiser still arranges handover and access across shifts. Do not assume automatic grouping by department. The article button opens the first email step; the public page says participants do not need a separate account.

No. Only include people who explicitly opt in.

Do gifts have to be books?

No. Follow the recipient's preferences and the agreed budget.

Does Osanta split staff by department?

Do not assume automatic department grouping. The organiser chooses the participants and handover arrangements.
